Privacy Notice

This Privacy Notice describes how Kiogo (hereinafter "the Application" or "the Service") collects, uses and protects the personal data of users who visit the website or use the after-school management platform, in compliance with EU Regulation 2016/679 (GDPR).

1. Data Controller

The Data Controller of personal data is the creator and operator of the Kiogo application. For any clarification, question or request related to privacy, you can contact the Data Controller at the support email address: fdmarco3@gmail.com

2. Types of Data Collected and Purposes

Through the Kiogo website and platform, the following categories of data are collected, strictly necessary for providing the after-school management service:

  • Educator and Facility Data: Name, email address, physical address and bank details (IBAN) are collected for administrative management and to receive fee payments. These data are processed exclusively for purposes related to the service contract and are in no way disclosed to third parties.
  • Student Data: Only the first and last names of the students enrolled in the after-school program are collected, in order to manage attendance and educational activities. These data are in no way disclosed.
  • Browsing Data: IP addresses, browser type and technical parameters of the device used to connect to the website.

3. Legal Basis for Processing (GDPR)

The processing of personal data is based on the following legal grounds:

  • Performance of a contract: The processing of the data of educators, facilities and students is necessary to provide and manage the requested after-school service.
  • Compliance with legal and tax obligations: For the accounting management of payments (e.g. management of fees via IBAN).

4. Processing Methods and Retention

Data are processed using IT and telematic tools, adopting technical and organizational security measures suitable to prevent data loss, unlawful or unauthorized use and unauthorized access. Data will be kept for the time strictly necessary to achieve the purposes for which they were collected and, thereafter, for the periods required by the applicable legal obligations.

5. Disclosure and Non-Disclosure of Data

As stated above, the data relating to educators, facilities (including payment data and IBAN) and students are not disclosed. They may be communicated exclusively to trusted third parties that technically support the platform (e.g. hosting providers), bound to confidentiality and appointed, where necessary, as Data Processors pursuant to Article 28 of the GDPR, or to public authorities only in the cases provided for by law.

6. Rights of Data Subjects (Arts. 15-22 GDPR)

Users may exercise at any time the rights recognized by the GDPR, including:

  • Access: Obtain confirmation as to whether or not personal data are being processed and request a copy of them.
  • Rectification: Request the updating or correction of inaccurate data.
  • Erasure: Request the deletion of data in the cases provided for by law.
  • Restriction or Objection: Restrict or object to the processing of your personal data.

Requests should be sent by email to the Data Controller’s address indicated in point 1. You may also lodge a complaint with the competent supervisory authority (in Italy, the Garante per la protezione dei dati personali).

7. Changes to the Privacy Policy

The Data Controller reserves the right to make changes to this notice at any time, informing users on this page.

8. Deletion of the Account and Data

Users of the Kiogo application may request at any time the deletion of their account and of all associated personal data (including the educator/facility’s personal details, contact information, payment/IBAN data and the data relating to the students entered in the system).

How to request deletion

To start the procedure for deleting the account and data, you must send an explicit request by email to the technical support address:

What to include in the email

  • The subject: "Account and data deletion request - Kiogo"
  • The email address or username associated with the Kiogo account you wish to delete.

Timing and retention

  • Complete deletion: Once the request has been received and the user’s identity verified, all personal data and the information saved through the application (managed on the Firebase infrastructure) will be permanently removed from the systems within 30 days.
  • Legal exceptions: Only the administrative, accounting or tax data that current legislation requires to be retained for the mandatory periods set by Italian law will be kept.

9. Cookies and Analytics Tools

The website (not the application) uses Google Analytics 4, a statistical analysis service provided by Google Ireland Limited, to collect aggregated information about how the pages are used (for example pages visited, length of visit, device type and approximate origin of visitors). Google Analytics uses cookies and similar identifiers.

  • Prior consent: Google Analytics is activated only after consent is given through the banner shown on the first visit. Until consent is given, no analytics cookies are installed and no data is sent to Google.
  • Legal basis: The user’s consent (Art. 6(1)(a) GDPR and national cookie legislation).
  • Purpose: Statistical purposes only, to improve the website. The Data Controller does not use this data for advertising purposes.
  • Duration: Google Analytics cookies last a maximum of 24 months. The choice made on the banner is remembered for 12 months, after which it is requested again.

Consent can be changed or withdrawn at any time via the “Cookie preferences” link in the footer of every page of the website; withdrawal does not affect the lawfulness of processing carried out before withdrawal. Alternatively, Google Analytics can be blocked with the opt-out browser add-on provided by Google.

The data collected may be transferred by Google to countries outside the EU, including the United States, on the basis of the safeguards provided for by the GDPR. For more information, please see Google’s privacy policy.

The website also uses the browser’s local storage (localStorage) solely to remember the choice made about cookies. This is a strictly necessary technical item that is not sent to third parties.
